Timely Exhibitor Communications

Every exhibiting organization will receive ToxExpo Exhibitor Update emails containing useful information and important deadline dates for you to plan a successful 2026 ToxExpo. Be sure to add these domains (toxicology.org. aim-hq.com, a2zinc.net, and shepardes.com) to your "safe senders" list so that these important communications are not blocked by spam filters.


ToxExpo Exhibitor Preparation:

 
  1. Complete your organization’s online profile page in the ToxExpo Directory (Deadline January 31, 2026):
Click on the green "Log In” button located on the right.

Follow these steps to log in:
 
Step 1: Enter the PRIMARY CONTACT email address and password. If this is the first time logging in to the ToxExpo website, enter the PRIMARY CONTACT email address and select "Forgot Password?"

Step 2: Enter the PRIMARY CONTACT email address again and check "I'm not a robot" then click on "Submit". An email will be sent to the PRIMARY CONTACT with instructions on how to reset the password. Keep in mind, the password entered is not collected by SOT. If the password is forgotten, a password reset will be necessary.

Once logged in, follow these steps:
 
Step 1: Click on "Access Exhibitor Hub" under the CURRENT EXHIBITORS tab.

Step 2: Click on "Take the Exhibitor Hub Tour" and follow the prompts to review, edit, and add enhancements to your organization's profile page, such as your organization's logo, a cover photo, a tile photo, a “What We Do” description, website address, searchable product categories, and contact information. You can even tag as a First-Time Exhibitor and if you have a New Product or Website Launch.

Step 3: COMPLETE TASKS to meet deadlines.

Step 4: LINK QUICKLY TO RESOURCES without having to leave your profile page.


Step 5: Contact SOT_Exhibits@toxicology.org if you need assistance.
 
  1. Click on the button under "Pay Invoice" in your Exhibitor Hub to make payments and to register on-site booth personnel (coming soon).
 
  1. Boost your brand and enhance your presence before, during, and after the event by purchasing advertising and marketing items from the Enhancement Opportunities Gallery (coming soon).
 
  1. Make your hotel reservations through SOT’s official housing provider Connections Housing (coming soon).
 
  1. Apply for an Exhibitor-Hosted Session to present your educational content during the SOT Annual Meeting and ToxExpo (coming soon).
 
  1. Spread the Word that you are exhibiting. Use the images provided on the annual meeting site (coming soon) throughout your social media channels to share your excitement for #2026SOT and #ToxExpo.
 
  1. If you have an island or end-cap booth or have altered booth construction, send your drawings or schematics to the ToxExpo Senior Exhibits Manager by February 23, 2026.
 
  1. Refer to Shepard's online ordering system, ExhibitorPro (coming soon) to order everything you need for your booth.
Order custom booth rentals/structures, flooring, graphics, and signs by February 20, 2026.

Order the budget booth package, standard booth furnishings, labor, and booth and carpet cleaning by March 2, 2026.
 
  1. Plan your shipping arrangements in advance using the labels provided in the online ordering system ExhibitorPro (coming soon).
 
  1. If you have hired an independent or third-party contractor to install and dismantle your booth, register your Exhibitor Appointed Contractor(s) in the online ordering system ExhibitorPro (coming soon) by February 27, 2026.
 
  1. Upload the proof of insurance (Certificate of Insurance) for your organization and your Exhibitor Appointed Contractor, if applicable, here by February 27, 2026. If you need to order insurance, please click here. Only the organizations that have provided the required proof of insurance will be permitted to set up their booths.  
 
  1. Request visitorpasses on or before Friday, March 6, 2026, for local, potential clients only to visit the ToxExpo exhibit hall Tuesday, March 24, or Wednesday, March 25. Refer to the Visitor Passes section in the ToxExpo Rules and Regulations for more details.  
 
  1. Arrive at the San Diego Convention Center on Saturday, March 21 from 2:00 pm to 5:00 pm or Sunday, March 22 from 8:00 am to 5:00 pm to set up your booth in the ToxExpo exhibit hall.
 
  1. Pick up your official SOT Annual Meeting and ToxExpo exhibitor badge and official exhibitor ribbon at the SOT Registration area located on the ground level of the San Diego Convention Center. Official on-site registration hours are coming soon.
 
  1. Be ready to meet thousands of toxicologists in the ToxExpo exhibit hall Monday, March 23; Tuesday, March 24; and Wednesday, March 25 from 9:00 am to 4:30 pm.* Exhibitors with the official SOT registration badge and exhibitor ribbon may enter the exhibit hall early on these days beginning at 7:30 am.*
